Administrative Secretary Wesley United Methodist Church (WUMC) in Phoenix The Administrative Secretary supports the WUMC staff, committees, ministry teams, and congregation for administrative functions in effectively carrying out the church's mission.
I.
Organizational Relationship A.
Will report directly to the Senior Pastor.
In the absence of the Senior Pastor, the Chair of Staff/Parish Relations Committee shall serve as supervisor.
B.
Works closely with the senior pastor and other WUMC staff members as part of a team to further the vision and mission of WUMC.
C.
Is responsive to and supportive of WUMC administrative teams and ministry teams.
D.
Assists members of the congregation as necessary with administrative matters.
II.
Overall Functions, Duties, and Responsibilities 1.
Will assist pastoral staff with preparing and mailing correspondence, scheduling activities on the WUMC calendar, and assisting with special projects.
2.
Answers the phone or ensures that a trained volunteer answers the phone and takes/relays messages during scheduled office hours.
Outside of scheduled office hours, monitors voicemail in a regularly scheduled manner and relays any messages received.
Oversees the operation of the phone system to ensure a professional presence on the telephone at all times.

Is responsible for collecting, opening, and distributing mail received in WUMC's post office box and at the physical church building.
4.
Maintains office supplies as requested or needed.
5.
Gathers, edits, prepares information for all worship bulletins, ensuring they are printed, assembled, and available for worship services.
Creates special inserts/flyers as requested for use as invitations to Christmas, Easter, special activities, etc.
6.
Gathers information for distribution through email, web page, and other social media account(s), sharing these with appropriate parties.
In both electronic and paper formats, prepares and distributes appropriately any additional communications as directed, including potential bulk mailing as directed.
7.
Maintains and updates informational brochures/fliers describing WUMC and its offerings for various purposes.
8.
Will assist pastoral staff in recording, editing, and publishing worship services for online viewing.
9.
Recruits and manages office volunteers as directed.
10.
Responsible for maintenance and repair of office equipment.
11.
Maintains the WUMC membership database, email contacts, and physical addresses, including membership lists and counts, lay leadership team membership lists, and attendance records.
Maintains Vital Statistics and prepares relevant portions of the Statistical Tables annually.
12.
As the Membership Secretary, draft and mail requests for membership transfers and maintain attendance from worship, committee meetings, Sunday School, etc.
13.
In collaboration with the Trustee Chair and pastoral staff, disburses facility keys as necessary and keeps records of facility keys.
14.
In collaboration with the Trustee Team and pastoral staff, maintains the WUMC calendar and responds to requests for facility usage, including special services such as weddings, funeral / memorial services, and coordination with activities of WUMC vendors.
15.
In collaboration with the Trustee Team, Financial Secretary, and pastoral staff, will maintain facility usage documentation, including usage forms and records of rental payments.
16.
Assists committees/teams/staff with special projects as requested, including preparing agendas, minutes, handouts, using office equipment, etc.
17.
Alerts the Trustee Team, pastoral staff, and/or custodian of needed repairs or maintenance issues reported to the church office, following up to ensure work is completed.
18.
Works with Trustee Team and custodian in planning special cleaning or maintenance needs.
19.
Works with the pastoral staff to coordinate and schedule community outreach events in connection with identified missional partners.
20.
Work can be completed remotely under direction of the pastoral staff.
21.
The position will have other duties as requested by pastors.
III.
Skills, Qualifications, and Other Requirements ? The position requires proficiency with office equipment.
? The position requires proficiency with the computer, Windows, Word, Publisher, Email and prefers proficiency with Excel and Aplos Church Database.
A willingness to learn and utilize unknown programs is required.
? The position needs to type accurately, proofread, edit, and prepare correspondence, newsletter articles, bulletin articles, signage, brochures, and other printed and digital materials.
? The position requires an ability to maintain absolute confidentiality.
? The position requires an ability to create a positive, friendly, welcoming working environment.
? The position requires an ability to maintain electronic and paper files in good order.
Compensation:
Starting level of compensation is based on experience and remitted via bimonthly timesheet submission to WUMC Treasurer.
Schedule:
The hours will be by scheduled appointment office hours determined in conjunction with pastoral staff on a biweekly basis.
The average hours will be 8-12 per week, depending on workflow.
Work that can be completed remotely may be done so under direction of pastoral staff.
Contractor Status:
The Administrative Secretary shall function as an independent contractor and shall at no point be considered an employee of WUMC.
